Everything Convenio does, and which plan it's on

Convenio manages your company's side of the trade shows and conferences your people attend. Here is everything it does, grouped by the job you're trying to get done — with the plan each feature is on.

Plan: decide which events you commit to

Most of an event budget is decided months before anyone travels. These are the tools for that part.

A status for every stage

All plans

Proposed, Confirmed, Booked, Completed — and Cancelled, with a recorded reason. A plan that is still an idea is never counted as a commitment.

Priority

All plans

Mark each event Must attend, Should attend or Nice to have, then group the event list by priority to see what the must-attend events cost on their own and what each step down adds.

Confirmed or tentative dates

All plans

Next year's edition often has no dates yet. Mark them as tentative, and every list, export and conflict check says so.

Event templates

All plans

The tasks and cost items an event of a given kind always needs, with lead times that become deadlines as soon as you set the dates.

Clone last year's edition

All plans

Copy a past event with its teams, tasks and participants. What each person actually spent last year becomes their budget this year; you only add the dates.

Placeholders for people you haven't picked

All plans

Add TBD participants when you know how many will go but not who. They get their tasks and budget like anyone else and keep them when you assign the real person, and Convenio reminds the event owner if a seat is still open before the event.

Recurring series

All plans

For the events that come back every month, quarter or year: generate the future editions up to five years ahead, each one independent and starting as Proposed.

Import from Excel

Growth and Scale

Bring in up to 50 events from a spreadsheet at once, and check them in a preview before anything is created.

Company and team events

All plans

A company event is shared with the teams you choose; a team event stays with the team that created it.

Run: get everyone to the event prepared

The weeks before an event are a list of small deadlines owned by different people. Convenio keeps the list and does the chasing.

Tasks with deadlines and costs

All plans

Every task has an owner, a deadline and an expected cost. Tasks that each attendee has to do — a registration, a hotel, a visa — are created once per person. Add, edit or remove tasks on any event, not only through its template.

Reminders that go out on their own

All plans

Convenio reminds people of their tasks before the deadline, asks attendees for feedback after the event, and nudges the event owner to close it — by email and in the app.

My tasks

All plans

Everyone sees their own to-dos across every event, in one list, and nothing else.

Attendance and no-shows

All plans

After the event, record who attended and why the others didn't. On Growth and Scale you can write your own lists of no-show and cancellation reasons.

Calendar conflicts

All plans

Two checks that a calendar misses: events planned too close together, and people booked on overlapping dates.

Who is going where

All plans

Filter the event list by person and by team, and share the view as a link.

Find the right people

All plans

Give each colleague a country and a job title, then search and filter by them when you pick who goes.

External guests

All plans

Clients, partners and speakers you invite get their own list on the event: invitation status, plus-ones, attendance and no-show reasons. Convenio records what happened; it doesn't email your guests.

Guests book

Start and up

One shared address book of the people you invite, organised by team, with the colleagues who look after each contact. Import it from a CSV file on Growth and Scale.

Prove: show what the budget delivered

The question after every event is whether it was worth it. These are the numbers that answer it.

Budget vs actual

All plans

Expected and actual cost for every event, with the difference, for any period — without rebuilding a pivot table.

Budget and actual per person

All plans

Hotels, tickets and flights are recorded per attendee, each with a budget and an actual. Copy one amount to everyone, or enter the invoice total and split it evenly.

Eight built-in reports

All plans

Budget vs actual, cost per attendee, attendance rate, feedback summary, event KPIs, upcoming deadlines, events close together and participant date clashes. Download any of them as CSV, or print it and save it as PDF.

Scheduled reports

Start and up

Have a report emailed to you every week or every month, with the filters you chose and a CSV attached.

Event KPIs

All plans

Attendees present, leads collected, opportunities generated, objectives achieved and overall quality — recorded when the event is completed. On Growth and Scale, define your own.

Feedback from the people who went

All plans

Attendees rate whether the event was worth it, say whether to go back next year, and leave a comment.

Multi-currency costs

Scale only

Record each cost in the currency it was paid in, per item or per person. Totals are converted to your company currency at the current rate, and every screen that converts says which date it used.

Ask: get an answer without building a report

Some questions don't deserve a report. Ask them.

An assistant that reads your data

Growth and Scale

Ask in plain words — "what did we spend on trade shows this year?", "who is going to Hannover Messe?", "what did Marco's trips cost us?" — and get the answer from your events, participants, tasks, costs and reports, with a link to the page that shows it. It follows the same permissions as the app, and the totals come from the database, not from the model.

Help in plain words

Growth and Scale

Ask how to do something in Convenio and get the answer from the help articles, with a link to the article.

The assistant reads; it doesn't change anything. Answers are AI-generated and can be wrong — every answer links to the page where you can check it.

Control: who sees what, and how it's secured

Built for a company that has to answer to someone — an IT department, a works council, an auditor.

Roles that match how companies work

All plans

Company Admins see everything. Team Leads see their teams' events and the company events shared with them. Participants see only the events they're part of and their own tasks. One person can hold more than one role.

Only your company's email domains

All plans

Colleagues join with their work email, and only the domains registered to your company are accepted. Personal webmail addresses are not.

Bulk user operations

Growth and Scale

Import up to 100 users from a CSV file, and invite, deactivate, reactivate or change the roles and teams of up to 100 people at once.

Multi-factor authentication

All plans

Every user can turn on a second factor with an authenticator app, and a Company Admin can make it mandatory for the whole company.

Audit log

All plans

Administrative and sensitive actions are recorded with who did what and when, and Company Admins can read the log for their own company.

Your brand in the app

Scale only

Your logo and brand colour inside Convenio, so it looks like part of your own tools.

Getting started

All plans

A setup checklist for the admin, a short welcome for every role, page tips and help articles explain the product as you use it.

A Data Processing Agreement is part of the terms you accept at signup, and each company's data is isolated at the database level.

See what it costs for your company

Every plan covers your whole company up to a number of users, not a price per seat.
