A trade show budget template that tracks what you actually spent

A trade show budget usually stops being useful the day it's approved. Someone builds a spreadsheet before the event — expected registration, expected travel, expected stand cost — and then the invoices arrive over the following weeks, from different people, and nobody goes back to check whether the numbers held. This is a free Excel template built to close that gap: budget vs actual per event, an attendee list, a pre-show checklist and a cost-per-attendee calculation, so the comparison takes ten minutes instead of an afternoon rebuilding a spreadsheet from memory.

What's in the template

Five tabs, each doing one job.

Read me. How the other four connect, and the one rule that keeps them accurate: enter a cost the day you learn it, not from memory afterward.

Event Budget. Every planned line item — registration, travel, accommodation, stand, materials — next to the actual amount, with the difference calculated for you.

Attendee List. Who was invited, who confirmed, who actually attended, and a recorded reason for every no-show.

Pre-Show Checklist. The tasks that have to happen before the event, so nothing gets missed in the two weeks before travel. For the full timeline around it, see the corporate event planning checklist.

Cost per Attendee. The one number most companies never calculate: total actual cost divided by the people who actually showed up, not the people who were invited.

How to use it, step by step

Before the event. Fill in the Event Budget tab with every expected cost line, and the Attendee List with who's invited.

As invoices arrive. Update the actual column the day you receive each one. Batching it afterward is when the errors creep in — a currency mixed up, a cost attributed to the wrong event.

During the event. Mark attendance and no-show reasons in the Attendee List as they happen, not from memory the following week.

After the event. Cost per Attendee calculates itself from the other two tabs. Read it — don't rebuild it in a new sheet.

The gap most budgets never show

A trade show for five attendees typically has a planned budget of €8,000–12,000 — registration, travel, hotel, a shared stand cost. The gap between planned and actual is rarely one dramatic line. It's the sum of five small misses — a flight booked two weeks late, a hotel rate that changed, a non-refundable ticket for someone who didn't go — and it adds up to 15–20% over budget on the average event. Nobody notices, because nobody puts the two numbers next to each other until a template like this one does it for them.

The Trade Show Budget & Attendance Tracker is the file we would build if we had to do this in Excel: budget vs actual per event, an attendee list, a pre-show checklist and a cost-per-attendee calculation. It is free, it works, and it is yours whether or not you ever open Convenio.

Free trade show budget template and conference attendance tracker, downloadable as an Excel spreadsheet. Track expected versus actual event budget, attendee lists and no-shows, and cost per attendee for any trade show or conference.

We'll email you the file. No sequence, no calls.

When the file stops working

If one person plans two or three events a year and goes to all of them, this spreadsheet is genuinely enough — keep using it. It stops working the moment two people need to update it the same day, because one version wins and the other is gone. It also stops working once you want to compare this year's cost per attendee against last year's without opening two files, or once "who actually showed up" needs to be tracked across more events than one person can hold in their head.

That's a different problem from a budget template — it's attendance tracking, and it's where a shared spreadsheet, however well built, stops being the right tool.
